FrogFluent is responsible for the personal information described in this policy. We provide language learning, professional communication and cultural preparation programmes for individuals, employers, schools and universities.

When you request a trial, join a waitlist or enquire about a programme, we may collect:

• For organisation enquiries, your employer or institution, role, estimated learner numbers, required start date and programme needs.
• Anything you include in a message, email or later conversation with our team.

Technical and service information

Our hosting and form provider may process information needed to deliver and secure the website, such as an IP address, browser or device information, request logs, timestamps and spam-detection signals.

Information from organisations

If an employer, school or university arranges a programme, it may provide limited learner or coordinator information required to plan and deliver that programme. The organisation should have an appropriate basis for sharing it.

3. Why and how we use information

• Responding to enquiries: to contact you, understand your goals, arrange a trial and recommend an appropriate programme.
• Preparing and delivering services: to assess levels, organise classes, communicate schedules and support learners and institutional contacts.
• Operating safely: to prevent spam, troubleshoot the website, maintain records and protect FrogFluent, learners and partners.
• Meeting obligations: to comply with applicable tax, accounting, contractual, safeguarding or legal requirements.
• Optional communications: to send updates or follow up on an enquiry where you have asked us to do so or where permitted by law. You may opt out at any time.

Where applicable law requires a legal basis, we rely on steps requested before entering a contract, performance of a contract, legitimate interests in operating and improving our services, consent where specifically requested, and compliance with legal obligations.

We do not use website enquiry data for solely automated decisions that produce legal or similarly significant effects.

4. Who may receive your information?

We disclose personal information only where it is reasonably necessary for the purposes described above:

• FrogFluent team members and teachers who need the information to respond, plan or deliver the relevant service.
• Service providers supporting hosting, form processing, communications and business administration. Website forms are processed using Netlify Forms. Netlify stores submissions and provides spam filtering and notification tools.
• Employers, schools or universities where the programme is arranged through that organisation and the information is relevant to delivery or agreed reporting.
• Authorities or advisers when disclosure is required by law or necessary to establish, exercise or defend legal claims.

We do not sell or rent personal information. Service providers may process data in countries other than your own. Where required, we use contractual or other recognised safeguards for international transfers.

5. How long we keep information

General enquiries are normally kept for up to 24 months after the last meaningful interaction so we can follow up and understand previous discussions. We may keep records connected to an active or completed programme for longer where needed for delivery, safeguarding, disputes, accounting or legal obligations.

Spam, security logs and platform backups may follow shorter or separate service-provider retention cycles. When information is no longer required, we delete it or remove identifying details. You may ask us to delete an enquiry sooner, subject to any lawful reason we need to keep it.

6. Your privacy rights

Depending on where you live, you may have the right to:

• Ask whether we process your information and receive a copy.
• Correct information that is inaccurate or incomplete.
• Request deletion or restriction of processing.
• Object to processing based on legitimate interests or to direct marketing.

The current website does not intentionally use advertising cookies or behavioural analytics. Essential hosting and security technologies may still process limited technical information. If analytics, advertising or additional cookies are introduced, this policy and any required consent controls will be updated.

Children

Children should not submit an enquiry independently without the involvement of a parent, guardian, school or other authorised adult. Where a programme involves minors, information should be handled through the responsible adult or institution and limited to what is needed.
